A full & frank approach to privacy

Full & Frank isn’t just our name. It reflects how we believe business should be done.

We believe you should be able to understand what information we collect about you, why we collect it, how we use it, who we trust with it, and what we do to protect it.

That is why this Privacy Policy is deliberately specific to the way Full & Frank actually operates rather than relying on generic privacy language. If anything here is unclear, you are welcome to ask us.

This Privacy Policy explains how we collect, use, store, disclose and protect personal information. We aim to handle personal information responsibly and in accordance with applicable Australian privacy laws, including the Australian Privacy Principles where they apply, as well as relevant privacy requirements in other jurisdictions where applicable.

Who we are

Full & Frank is operated day to day by Full & Frank Trust (ABN 94 455 691 278), trading as Full & Frank.

Full & Frank Pty. Ltd. (ABN 17 163 628 395) is trustee for the Full & Frank Trust. Full & Frank Pty. Ltd. may also occasionally contract or operate in its own capacity where a particular contract, grant, engagement or other arrangement requires it.

In this Privacy Policy, Full & Frank, we, us and our refer to the Full & Frank Trust and, where relevant, Full & Frank Pty. Ltd.

What personal information we collect

The information we collect depends on how you interact with us. It may include:

  • your name, email address, telephone number and other contact details;
  • your role, organisation, business or professional information;
  • information you provide when making an enquiry, applying to work with us, registering for an event, joining a waitlist or requesting a resource;
  • information about an objective, opportunity, problem, project, event or engagement you ask us to consider;
  • information relevant to delivering consulting, coaching, professional development, speaking, speechwriting or other services;
  • billing, invoicing, transaction and payment-related information;
  • records of correspondence and our interactions with you;
  • email subscription preferences and information about resources or communications you have requested;
  • information you voluntarily provide through surveys, forms, applications, workshops or other activities;
  • website and device information such as browser type, device type, pages viewed, referral source, approximate geographic location and other analytics information;
  • IP addresses collected through website forms for security, spam prevention and technical purposes. Our current website-form configuration anonymises these after 30 days; and
  • location information you deliberately provide, such as your city or country, where it is relevant to the service, event or communication you have requested.

We do not currently use our website forms to collect precise device geolocation automatically.

Please do not include commercially sensitive, confidential or NDA-protected information in an initial enquiry unless it is necessary. Where substantive confidential information needs to be shared, appropriate confidentiality arrangements can be put in place first.

How we collect information

We generally collect information directly from you when you:

  • submit a form on our website;
  • subscribe for Full & Frank emails;
  • download or request a resource;
  • enquire about or purchase a service;
  • apply for a program or opportunity;
  • attend a workshop, event, presentation or professional development program;
  • correspond or meet with us;
  • enter into a contract or other commercial relationship with us; or
  • interact with us through professional or social platforms.

We may also receive professional contact information through referrals, introductions, publicly available professional sources or organisations with which you are associated.

Submitting a business enquiry or meeting us professionally does not automatically mean you will be added to a marketing email list.

Our website systems may also collect technical information automatically through cookies, analytics tools and similar technologies.

Why we collect and use personal information

We use personal information where reasonably necessary to operate Full & Frank and provide the services, information and experiences people ask us for. That may include using it to:

  • assess and respond to enquiries;
  • determine whether and how Full & Frank can add value;
  • provide consulting, coaching, professional development, speaking, speechwriting and related services;
  • administer contracts, engagements, invoices and payments;
  • deliver courses, resources, workshops, events and other offerings;
  • manage registrations, applications and waitlists;
  • communicate with clients, prospective clients, partners, suppliers and other professional contacts;
  • send emails to people who have asked to receive them;
  • understand how people find and use our website and improve its usefulness;
  • understand broad audience trends, including geographic interest in Full & Frank;
  • protect our websites and systems from spam, fraud, misuse and security threats;
  • meet accounting, tax, legal, regulatory and record-keeping obligations;
  • establish, exercise or defend legal rights; and
  • operate, evaluate and improve Full & Frank.

We do not sell personal information to third parties.

Email marketing and subscriptions

If you ask to receive Full & Frank emails, we may send you occasional ideas, insights, useful resources, news or opportunities we think are worth your time.

There is no fixed schedule for Full & Frank’s general email list.

You can unsubscribe at any time using the unsubscribe link included in marketing emails.

We may maintain information necessary to record and respect an unsubscribe request. This is important because deleting every record of an unsubscribe could result in someone being inadvertently resubscribed later.

Different subscriptions may be offered for different purposes. Where we do this, we aim to make clear what you are signing up to receive.

Website forms

Our WordPress website uses Forminator for some forms.

Depending on the form, information may be stored within our WordPress website and may also be sent to us by email or passed to another service that is required to fulfil the purpose of the form.

We use limited technical information, including IP address information, for purposes such as security and spam prevention. Our current Forminator configuration anonymises IP information after 30 days.

We periodically review forms and historic submissions and aim to remove or de-identify information that we no longer reasonably need.

Cookies, analytics and similar technologies

We use cookies and similar technologies to understand how our websites are used, maintain functionality and improve the experience we provide.

Our main website currently uses Google Analytics 4 (GA4). Google Analytics may provide us with aggregated or pseudonymous information such as pages visited, traffic and referral sources, browser and device information, broad usage patterns, and approximate geographic information such as country, region or city.

We use this information to understand our audience and improve the website, services and marketing decisions. We are not using Google Analytics on the main website for Google display-advertising features at the date of this policy.

Some Full & Frank purchasing, course and learning experiences are hosted through Kajabi. Our Kajabi environment currently uses Meta Pixel and Meta Conversions API to measure activity such as page views, checkout activity and purchases.

At the date of this policy, the Meta Pixel is not installed on the main fullandfrank.com WordPress website.

We may introduce or change advertising and retargeting technologies in future. If we do, we will review our privacy and consent arrangements and update this Policy where appropriate before or when those practices change.

You can also control cookies through your browser settings. Additional cookie or consent controls may be made available on our websites.

Payments

We use Stripe for online payment processing in relevant parts of our business.

Payment information is transmitted to and processed by Stripe and, where applicable, through the platform through which you make your purchase, such as Kajabi.

Full & Frank does not generally receive or store your complete payment-card number.

We may retain transaction information such as your name, contact details, the product or service purchased, payment status, amount, currency, invoice or receipt information and other records required for accounting, contractual, taxation or legal purposes.

Service providers and other third parties

We use trusted third-party services to operate Full & Frank. Depending on how you interact with us, these may include providers of:

  • website hosting, security, backup and website functionality;
  • email marketing and subscriber management, including ActiveCampaign;
  • website forms and integrations;
  • course, learning and checkout services, including Kajabi;
  • payment processing, including Stripe;
  • analytics, including Google Analytics;
  • advertising measurement in our Kajabi environment, including Meta;
  • video conferencing, productivity, file storage and collaboration services;
  • accounting and professional services; and
  • other technology reasonably required to deliver an engagement or service.

We provide these organisations only with information reasonably required for the relevant purpose and expect service providers to handle information in accordance with their contractual and legal obligations.

We may also disclose information where required or authorised by law, to protect our legal rights, or in connection with a genuine corporate, business or professional transaction where appropriate safeguards apply.

Overseas processing and disclosure

Full & Frank works internationally and uses global technology providers.

As a result, personal information may be processed, stored or disclosed outside Australia, particularly in the United States, and potentially in other countries where our technology providers and their authorised subprocessors operate.

The precise locations may vary as cloud-service infrastructure and provider arrangements change.

Where Australian privacy law applies to a cross-border disclosure, we take reasonable steps appropriate to the circumstances in relation to the handling of that information.

How long we keep personal information

We do not believe that “storage is cheap” is a good reason to keep personal information forever.

We retain information for as long as reasonably required for the purpose for which it was collected and for legitimate operational, contractual, accounting, taxation, dispute-resolution or legal requirements.

Different information therefore has different retention periods. For example:

  • short-term technical information may be anonymised or deleted relatively quickly;
  • enquiries may be retained while they remain relevant to a potential or actual engagement;
  • client and commercial records may need to be retained for longer periods;
  • financial records may need to be retained to meet statutory obligations; and
  • unsubscribe information may be retained so that we continue to honour your request not to receive marketing.

We periodically review historic information and take reasonable steps to delete or de-identify personal information we no longer require.

How we protect your information

We take reasonable technical and organisational steps to protect personal information against misuse, interference, loss and unauthorised access, modification or disclosure.

Those measures may include access controls, passwords and multi-factor authentication, encrypted systems and connections, trusted service providers, software and security maintenance, backups, limiting access to people who need it and periodically reviewing the systems and information we hold.

No internet-connected system is completely risk free, and we cannot guarantee absolute security.

If we become aware of a data breach, we will assess and respond to it in accordance with applicable legal requirements, including notification obligations where they apply.

Your choices and rights

You may contact us if you want to:

  • know what personal information we hold about you;
  • request access to it;
  • ask us to correct inaccurate or out-of-date information;
  • withdraw consent where our processing relies on consent;
  • unsubscribe from marketing;
  • ask us to delete or de-identify information that we no longer have a legitimate or legal reason to retain; or
  • raise a question or concern about how your information has been handled.

There may be circumstances in which we are legally entitled or required to retain information despite a deletion request. If that applies, we will explain the position where appropriate.

If you are located in a jurisdiction such as the European Economic Area or United Kingdom, you may have additional rights under applicable privacy law. We will respond to applicable rights requests in accordance with the law that applies.

Privacy complaints

If you have a privacy concern, please contact us first so we can understand the issue and try to resolve it.

We will take privacy complaints seriously and investigate them appropriately.

If you are not satisfied with our response and Australian privacy law applies, you may also be entitled to contact the Office of the Australian Information Commissioner (OAIC).

People in other jurisdictions may also have the right to contact their relevant privacy or data-protection authority.

Changes to this Privacy Policy

Our business, services and technology will continue to evolve.

We may update this Privacy Policy when our information-handling practices change, when we introduce new systems or initiatives, or when legal or regulatory requirements change.

The current version will be published on our website with the date it was last updated.

And, in the spirit of being full & frank, privacy will be one of the things we pressure-test when we design new initiatives — not something we intend to bolt on afterwards.
